OPPORTUNITY
We are looking for a dynamic and detail-oriented individual to fill the position of Project Administrator. This role is pivotal in maintaining the quality and effectiveness of our operations by overseeing project databases and streamlining managerial procedures. The ideal candidate will exhibit meticulous attention to detail, exceptional communication abilities, and a proactive mindset when addressing challenges.

You’ll support company operations by aiding the QA & WHS Manager, maintaining project management databases, and contributing to business optimisation projects. This role reports to the Office Manager.
RESPONSIBILITIES
- Managing project databases and documentation: Ensuring accurate and up-to-date records of project activities, including contracts, invoices, and progress reports.
- Oversee the maintenance and management of project management database software.
- Monitoring project progress: Tracking project milestones, budgets, and deliverables to identify any potential issues or delays and taking proactive measures to address them.
- Implementing project management tools: Utilising project management software and tools to streamline processes, track progress, and enhance collaboration among team members.
- Assisting in the development and delivery of project management training programs for project teams and stakeholders.
- Collaborating with cross-functional teams to streamline project workflows and ensure effective communication.
- Providing administrative support: Assisting with general administrative tasks such as filing, data entry, event planning and organising project-related materials to maintain an efficient and organised work environment.
- Ad hoc Reception cover which includes greeting visitors, answering phones, and directing enquiries to the appropriate person or department.
- Miscellaneous tasks: Performing other duties as assigned by supervisors or managers to support the overall functioning of the organisation.
POSITION REQUIREMENTS
- Proficiency in managing documentation control, with strong data entry and word processing skills, is expected.
- Exceptional organisational, negotiation, and communication abilities are essential.
- Previous experience with Workflow Max or similar Project Management software is highly regarded.
- Advanced skills in Microsoft Office Suite, particularly Excel, Word, and PowerPoint, are required.
- Experience with data analysis and reporting tools is beneficial.
- Strong communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders, are necessary.
- Detail-oriented with a commitment to high quality and accuracy is crucial.
- Proactive and self-motivated, with the ability to work independently and take initiative, is expected.
ADELAIDE OFFICE
Our Adelaide office is centrally located in the CBD, and it is the headquarters for our national business across Australia. We have just moved into a newly renovated building in 2023 and are enjoying the modern décor and professional environment. In addition, the basement level is dedicated to meeting rooms, training facilities, and a large central space for socialising and networking. It is a great party space for daily lunches, company meetings, and parties.
